# Playbook: turning inbound into booked meetings

Inbound turns into meetings when you stop treating the form fill as the finish line. **Split leads by readiness, nurture the early ones in your rep's voice until there is a reason to talk, and let a rep approve and send the message that asks for the meeting.**

A form fill tells you someone is interested in a topic. It does not tell you they are ready to buy, and most of the time they are not. That is the honest starting point for this playbook.

The money is lost in what happens after. The asset goes out, the record lands in the CRM, and the lead is either worked once or left alone. Either way it goes cold. This playbook is about making sure no inbound lead is parked.

### Step 1: build the picture

When a lead comes in, the platform assembles context rather than a row in a list:

- Who they are: role, seniority, and whether they own the problem you solve.

- The account: size, segment, and how closely it resembles the accounts you win.

- What is happening there: funding, hiring, leadership changes, tech-stack changes, repeated visits to pricing or comparison pages.

- The buying group: who else needs to be in the room for this to become a deal.

### Step 2: separate fit from why now

These are two different questions, and mixing them is why so many inbound leads get mishandled.

- **Fit, no reason to act yet.** The largest group. These go to nurture.

- **Fit and a clear reason to act.** The small group worth a rep's time this week.

- **No fit.** Deliver what you promised and stop there. Chasing them costs you deliverability and focus.

### Step 3: nurture the early ones in your voice

Every lead that fits but is not ready is added to an automated nurture sequence, written in the voice of the rep who owns the account, not in generic marketing language.

What makes it work:

- Each message is about their situation, drawn from the account context, not a broadcast newsletter.

- The cadence is patient. Useful, spaced messages beat weekly pressure.

- It reacts. A new signal at the account moves the lead up. A reply hands it straight to the rep. Silence stretches the gaps instead of escalating.

- A rep reviews the drafts. Nothing leaves in their name that they have not read.

This is the part most teams skip, and it is where next quarter's pipeline comes from.

### Step 4: convert the ready ones

For a lead with fit and a reason to act, the platform drafts the message that asks for the meeting. It references what changed at the account, speaks to the problem that person owns, and makes one clear ask.

The rep reads it, adjusts anything that is off, and sends. If the reply is positive, the meeting goes on the calendar and the account context, the reason, the people, and the history, goes with it, so the first call does not start from zero.

### Step 5: promote from nurture as things change

Readiness is a moving target. The platform keeps reading each nurtured account, so a lead that was early in March is promoted in June the day a real trigger appears. No one has to remember to reopen a list.

### Step 6: measure meetings, not downloads

Track three things: how many inbound leads are in active nurture, how many were promoted to a conversation this month, and how many booked meetings came out of it. All of it sits in your CRM, so the inbound number you report is one you can defend.

### What you end up with

No abandoned leads. Nurture that sounds like a person because a person approved it. And a steady flow of meetings from inbound interest that used to expire quietly in a list.

## Common questions

No. Leads that fit but are not ready are added to nurture in your rep's voice. Only leads with fit and a clear reason to act get a rep's time now.

The sequence runs automatically, but a rep reviews the drafts and nothing sends in their name unread. It reacts to new signals at the account rather than following a fixed drip.

By meetings, not downloads. Track how many leads are in active nurture, how many were promoted to a conversation, and how many booked meetings resulted, all in your CRM.
